Club Travelo Event Participation Agreement
At Club Travelo, we take pride in curating unforgettable local outings and group travel experiences designed to create lasting memories. Whether it’s an exclusive weekend retreat, a scenic adventure, or a cultural exploration, every detail is carefully planned to ensure a seamless and enjoyable journey.
Our trips are more than just getaways—they are immersive experiences where travelers connect, explore, and enjoy premium services. From carefully selected accommodations and guided activities to unique local experiences, we strive to provide the highest level of service and value to our guests.
Because we work closely with hotels, transportation providers, and local vendors to secure the best arrangements, cancellations impact not only us but also our partners and fellow travelers. Many of our reservations and services are non-refundable or require upfront commitments, making last-minute cancellations difficult to accommodate.
Attendance and Cancellation Policy
By completing your registration for an event, you acknowledge and agree to the following terms:
Local Outings:
Within 14 Days: Cancellations within 14 Days of the Event Date are non-refundable.
Failure to Arrive and Late Cancellations: Guests who fail to arrive for the scheduled departure or cancel with insufficient notice will forfeit all payments made and will not be eligible for a refund or future credit.
Group Trips:
Occupancy: Unless otherwise specified, group trips are priced for 2 persons (double occupancy per room). Additional guests, including minors under the age of 18, are subject to additional fees. Any unregistered guests/occupants present during the trip will incur extra charges at the applicable rate. Please ensure that all attendees are registered at the time of booking to avoid additional fees.
Attendance Requirement: Any member or guest participating in a group trip with a gift certificate, coupon or discount on a trip is required to attend their scheduled Membership Review meeting ensuring all parties on their existing contract are present for the meeting. Failure to attend this meeting will result in the immediate revocation of any discounted rate, and the full standard price of the trip will be charged to the card on file.
Cancellations Within 14 Days of Departure: All payments are non-refundable. A cancellation fee of the full cost of the trip or $500 (whichever is greater) will be applied if a cancellation occurs within 14 days of the scheduled departure date.
Cancellations 15 Days or More in Advance: Cancellations made 15 days or more prior to the scheduled departure date may be eligible for a credit toward a future event, subject to approval. Credits are not guaranteed and are issued at the sole discretion of the event organizer.

Cancellation Requests:
Cancellation Request Submission: All cancellation requests must be submitted in writing through our official Cancellation Request Form located below. Cancellations will not be processed unless submitted through this form.

Event Waiver of Liability
Acknowledgment of Risk: I, the undersigned, hereby acknowledge that I am voluntarily participating in the event organized by Travel Club Enterprises LLC dba Club Travelo, which includes being transported to and from the event location(s). I understand that participation in the event and the transportation may involve risks, including but not limited to:
– Motor vehicle accidents
– Injuries caused by sudden stops or turns
– Boarding and exiting the vehicle(s)
– Exposure to weather or environmental conditions
Assumption of Risk: I voluntarily assume full responsibility for any risk of loss, personal injury, property damage, or other risks, whether foreseen or unforeseen, that may arise from my participation in this event and the use of provided transportation. I acknowledge that the event organizers have taken reasonable precautions for my safety but cannot eliminate all risks associated with transportation.
Waiver of Liability: In consideration of being allowed to participate in this event, including the transportation. I, on behalf of myself, my heirs, assigns, personal representatives, and next of kin, hereby release, waive, discharge, and hold harmless:
Travel Club Enterprises LLC dba Club Travelo and any affiliated organizations, event sponsors, and their respective officers, employees, agents, and volunteers from any and all claims, demands, actions, or causes of action, whether arising out of negligence or otherwise, that I may have or claim to have against them arising out of or relating to my participation in the event and use of transportation provided.
Indemnification: I agree to indemnify and hold harmless Travel Club Enterprises LLC dba Club Travelo and any associated parties from any and all claims, demands, actions, or liabilities, including attorney’s fees and costs, that may arise from or relate to my participation in the event, including transportation provided.
Consent to Medical Treatment: In the event of an emergency, I consent to any necessary first aid or medical treatment provided during my participation in the event and transport. I understand that I am responsible for any medical costs incurred as a result of such treatment.
Miscellaneous: I affirm that I am physically capable of participating in this event. I also understand that I may be removed from the event or transportation at the discretion of the organizers if I do not adhere to the event’s safety rules or policies.
Photographic and Video Release: I grant Club Travelo the right to take photographs and videos of me during the event and to use such media for promotional purposes without any compensation to me.
Agreement: I have carefully read and fully understand the contents of this Waiver of Liability, Assumption of Risk, and Indemnity Agreement. I voluntarily sign it and understand that it is a binding legal document that waives certain rights.
Club Travelo reserves the right to revise these terms of use at any time. Any changes will be posted on our website and will take effect immediately upon posting. It is your responsibility to review these terms of use periodically.
